Staff Mobility with Erasmus

Through the ERASMUS + programme, Swansea University staff have the opportunity to participate in Teaching Staff Mobility or Staff Training Mobility. The International Development Office has been successful in its application for funding for the 2018/19 academic year and we are now inviting applications from staff to participate in the programme.

  • Minimum duration 2 days. Maximum duration 2 weeks excluding travel
  • Funding available: Travel and Subsistence elements of the grant will be provided calculated as per tables below
  • Actual costs can be reimbursed up to the maximums as per tables below, but are paid on the basis of receipted expenditure
  • Activity to be completed before 31st August 2019

Teaching Staff Mobility

  • Open to Academic Staff only
  • For teaching at another Higher Education Institution in a country participating in the Erasmus programme.
  • Letter of invitation from the host 
  • Participants are required to deliver a minimum of 8 hours teaching per week (or part of week)

Staff Training Mobility

  • Open to all staff, Erasmus + training mobility periods support the professional development of HEI staff
  • Participating staff can receive training at another Higher Education Institution, company or organisation
  • Training events may be in the format of job shadowing, observation, attendance at workshops and courses, etc.
  • Conferences are NOT funded under the scheme

How to apply

If you are interested in applying for Erasmus staff mobility funding for activity to be carried out during the 2018/19 academic year, please complete the application form and submit by 31st October 2018. All applications will need to be endorsed by line managers before they are submitted.

In the event that we receive more applications than can be funded, in line with Erasmus National Agency guidelines, priority will be given to staff that have not accessed Erasmus funding in the past.

If your application is successful you will receive detailed correspondance in relation to the funding you will receive as well as the paperwork required. 


Funding is available for staff mobility in the following participating countries:

Austria, Belgium, Bulgaria, Croatia, Cyprus, Czech Republic, Denmark, Estonia, Finland, France,

Germany, Greece, Hungary, Iceland, Ireland, Italy, Latvia, Liechtenstein, Lithuania, Luxembourg,

Macedonia, Malta, Netherlands, Norway, Poland, Portugal, Romania, Slovakia, Slovenia,

Spain, Sweden, and Turkey.

Please note, this funding is not available for opportunities within the UK

Funding Available

Erasmus+ provides funding for staff mobility as a grant contribution towards subsistence and travel.

  • Travel costs – related to the trip for example travel from Swansea to the host and back but NOT local travel
  • Subsistence costs –  hotel, food, local travel etc. The following cannot be claimed for: alcoholic drinks except where taken with a meal; drinks from a hotel mini bar; toiletries; newspapers; magazines; travel guides and any other item which is for personal use. 

Up to 2 travel days can be awared as a day's subsistence for staff travelling before and/or after the mobility. If there are training or teaching activities on the same day as travelling, you are not entitled to a travel day.

Please be aware that the expenses claims are subject to external Erasmus+ regulations as well as internal University regulations which can cause a delay in reimbursement.  

All payments may be subject to audit by the National Agency (The British Council) therefore it is essential the paperwork is completed in a timely manner and ideally handed in within a month after the mobility.  

Actual costs can be reimbursed up to the maximums listed in the tables below, but are paid on the basis of receipted expenditure.

Distances must be calculated from the home to the host university /organisation using the online tool provided by the EC. 

Please note: the "travel distance" represents the distance between the place of origin and the venue, whereas the "amount" covers the contribution to the travel both to and from the venue.

Please Note: for mobility periods of up to 14 days, the amount per day per participant is specified in the above table.  




On return from the mobility, staff must complete the online expenses form via the intranet and submit the original claim and all receipts to Corinne Rees in the IDO for processing. To ensure that expenses claims are not rejected please follow these guidelines: 

  • Input each receipt individually (itemised receipts preferred, if credit receipt is all that is availalbe please note what it was for)
  • Provide full details of the expenditure incurred: Claim date, type, details (what the receipt is for e.g. name of the restaurant)
  • If claiming for one person but the bill/receipt is for more, this will need to be explained as well as the division sum
  • Mileage should be calculated as a round trip not two seperate journeys, the following rates apply: Up to 120 miles @ 45p / over 120 miles @ 13p
  • The original expenses form and receipts must be handed in to the IDO once complete.
  • Please note that you only need to sign the declaration, the IDO will arrange signature from the authorised signatory

If the claim is not in order it will be rejected and have to be returned so that amendments can be made.

“I was lucky enough to attend the International Staff Exchange Week (ISEW) at the University of Helsinki, Finland in June 2016. The week was specifically tailored for Librarians and was a great mixture of visits, presentations and cultural activities, with excellent opportunities to network with academic Librarians from a wide range of European countries. 

For me the best part of the week were the presentations given by all ISEW participants and our hosts, the wide variety of topics presented (including library research support, marketing and information literacy) provided me with the opportunity to learn about best practice from my European colleagues and provided me with lots of ideas I can implement at Swansea University Library. It was also a great opportunity for me to showcase Swansea and Swansea University and share my experiences."

“I had a wonderful experience on my Erasmus exchange to Ghent University in Belgium. It was very exciting for me because I got trained to use the Single Particle Tracking (SPT) microscopy instrument. SPT is a renowned microscopy technique, currently not available at Swansea University, which allows the study of the kinetics of nanoparticle entry, transport and exit from cells. Upon arrival at Ghent University, work was initiated on preparing the cells for treatment with the nanoparticles. This required approximately three to four days during which time I received training and held meetings with my collaborators, discussing possible future visits to Swansea. 

"I had a wonderful experience learning new techniques and meeting other scientists from a variety of disciplines and it has led to several publications and further work plans. I would encourage every staff member to have a similar experience at least once in their career.”

"The Erasmus International Staff Mobility week organised by the host institution; University of Silesia, Katowice, Poland was a fantastic experience and one I would highly recommend to others if given the opportunity. The highlights of the trip were the interactive workshops from, ‘laughing yoga!’ to ‘knowledge marketplace’ , a crash course in Polish, exchanging ideas, networking and the opportunity to meet international students all the while spending time in a fantastic city, exploring the area and experiencing Polish culture.  The trip far exceeded my expectations and I would recommend to anybody interested in expanded their knowledge of the international HE sector and meet some great people!”

Valencia University

In 2014-2015, I visited the English Language and Literature Department at Valencia University, Spain. The visit entailed a comprehensive academic schedule, including undergraduate lectures and seminars, postgraduate training sessions on research methods, and several networking events with research and teaching active staff. As a result of the visit, and especially given the complementary academic areas between the English Departments in Valencia and Swansea, students taking relevant courses in both institutions have access to additional, shared data resources and benefit from new pedagogical interventions.

Research students in both departments have been put in direct touch with each other, and become involved in informal 'peer-reviewing' of methodological aspects of their research projects. The networking events, which were linked in part to existing, collaborative research funding, have enabled a number of early career researchers from Valencia University to apply to their country's research council equivalents for funding to participate in longer academic visiting scholarships at Swansea University, under the auspices of the Language Research Centre.

Universitat Politècnica de València

In April 2018 I took part in the International Staff Training Week for Support Services Staff at Universitat Politècnica de València (UPV).

We were divided into small work groups to take part in job shadowing sessions, training activities and coaching workshops. These were all based around support service areas such as welcome services, facility management, post services, academic information, web resources, applied language and IT training.

I thoroughly enjoyed my time there and relished the opportunity of meeting so many wonderful people from other universities across the UK and Europe. It was great to share our experiences.

I would definitely encourage other support service staff at Swansea to visit UPV.

In September 2015, I visited the Faculty of Professional Studies at the University of Nordland in Bodø, Norway. The main aim of this visit was to arrange a new ERASMUS agreement for the exchange of students on the BSc nursing programme. During my visit I met with the head of the faculty, the programme manager for their nursing BSc, and various members of the team who deliver this programme. I was given a tour of the teaching and student facilities available at the University of Nordland, and met with their international coordinator. 

I also visited a number of potential clinical placements, such as the local hospital, a mental health hospital and a care home where the manager was recently named Norwegian nurse of the year for the work she has done developing services for residents with dementia.

The main outcome of the visit is an ERASMUS agreement for the students on the BSc nursing programme, and some potential educational and research projects that will be developed over the next few years.

For many years, the Department of Mathematics has benefited from the Erasmus Staff Mobility Programme. Partners have included the Universities of Dresden, Goettingen, Marburg and Wroclaw. We have sent senior professors (Brzezinski, Lytvynov, Jacob), mid career staff (Dr.Yuan) and early career staff (Dr.Evans). Typically we give one week courses for advanced undergraduate or early postgraduate students.

For the first time in 2015, due to generous support of TU Dresden and efforts of the College of Science, we were able to extend the programme to include students from both sides - six Swansea students accompanied us to our lecture courses in Dresden and the following week, colleagues from Dresden gave their courses in Swansea bringing four of their students with them. In Dresden and Swansea we added a seminar mainly for research students, and most of the students gave talks on their research.

We intend to continue and extend this exchange programme with Dresden, to our knowledge one of the very few where both staff and students are involved.
